Use a confirmed anchor date
An anchor is a date tied to a specific position in your rotation. For the simplest setup, choose the first Day shift in a confirmed four-Day block. A correct pattern with an incorrect anchor will still put the wrong shift on every date.
For example, a fixed-Day block beginning Monday 21 September 2026 runs through Thursday 24 September. The four Off dates are 25–28 September, and the next work block starts Tuesday 29 September. This is an illustration, not your personal schedule.
Keep one-off changes out of the pattern
A swap, annual-leave day or training assignment does not usually change the rotation that follows it. Record those changes as exceptions. That lets the calendar show the changed date without moving every future work block.
For a permanent change, review the new complete cycle and its start date. Do not try to repair a permanently changed rota by piling up one-off swaps indefinitely.
Do not infer pay or leave from the name
The label 4 on 4 off does not specify shift length, paid breaks, overtime treatment or holiday entitlement. Those depend on the schedule and rules that apply to you.
